Hall Rentals & Policies
Events
- A minimum of one Hall Board member will be in attendance at all events at a cost to the renter
- Kitchen facilities are not available
- Tablecloths or table coverings must be on every table in the hall (health department rules)
- A deposit is required to book an event and is refundable only upon 3 months prior notice of cancellation
- For larger events such as dances or shows, the renter may need to provide extra security
- Check with your insurance agent to see if you require liability insurance
- Animals are not permitted in the hall
Decorating
- The hall will be made available for two hours on the day prior to your function for decorating between the hours of 12 noon and 8 pm
- All decorations and rental items brought in by the renter must be removed by the renter at the end of the event
- Decorations, flowers and other items should be assembled or completed before bringing them into the hall
- Helium balloons and confetti are not permitted in the hall
- Staples or duct tape will not be used on the floors, walls or stage
- Candles are permissible on the tables if they are in stable, fully contained holders that are taller than the top of the flame
- Special effects such as smoke shows or fireworks or any decorations using live creatures are not permitted
Food
- Matsqui Hall has three wonderful caterers who are approved to work at the hall. Our renters are requested to contact only these caterers and hire the one of your choice.

- Snack foods only are allowed (e.g. chips & dip, nachos & salsa, finger foods) without a caterer
- No foods can be prepared or cooked at the hall
- You may borrow coffee urns but need to provide your own coffee, cream, sugar, cups, stir sticks, etc.
- No dishes or cutlery are available. These can be rented or provided through your caterer.
Alcohol
- All bar duties are handled by Hall representatives (no exceptions) and a corkage fee is charged. All of our bartenders have their Serving It Right Card.
- Alcohol is permitted with a Special Occasion License (SOL). The renter can apply for the Special Occasion License from a government liquor store. You must have a Serving It Right Card to do so.
- The renter provides the alcohol in the amounts allowed within your Special Occasion License.
- Renters may not run their own bar even if they have a Serving it Right Card
- U-Brews and U-Vins cannot be served at the hall under a Special Occasion License
- The hall bar is not set up for kegs of beer - only bottles and cans
- The corkage fee includes the bartenders' services, all the mix, all the ice, bar glasses for drinks and staff to keep the tables clear of empty glasses and bottles throughout the event.
